Four workflows that make it easy and convenient to release your time on your terms.

Giving you the flexibility and control to release your time efficiently and accurately was our primary goal when we built Time by Ping (TBP). That’s why we give you four different ways to release your time to your firm’s Practice Management System (PMS) – so you can choose the one that’s most convenient for you each time.

How do I release my time?

There are three things you need to know about releasing your time:

  1. You release time from your Timesheet
  2. You can only release Entries marked with Ready_to_release.png. For more on that, read our Release Status: Ensure Your Time Is Compliant article
  3. Time is released on a day-by-day basis

We know that releasing your time is crucial to your billing goal, which is why we’ve made it super flexible and created four ways to do this:

Release your entire day

If you’ve accounted for your entire day and are happy everything in your Timesheet is compliant, you can release your entire day in a couple of clicks:

  1. In your Timesheet, click ‘Release Day’ in the top right of your TBP window
  2. A Release Timesheet confirmation modal will ask you to double-check you’re happy with the Entries you’re releasing. It also shows you:
    • The total billable increments for each Client / Matter
    • The total billable increments for all Entries combined 
  3. If any Entries aren’t ready for release, you’ll see an Warning.png alert and message saying how many and their total billable increments. These Entries will remain in your Timesheet but you’ll still be able to release those that are ready
  4. Click ‘Confirm & Release’
  5. Each Entry’s release status will update from Ready_to_release.png to Released.png, the Entry bar will highlight in green and you’ll no longer be able to edit it

Release a single Entry

You can also release Entries individually:

  1. In your Timesheet, click on the Entry you want to release and the Client / Matter box will display on the right-hand side of your TBP window, above your Daily Timesheet
  2. The ‘Release’ button shows the billable increments for the Entry you’ve selected – click on it
  3. A Release Entry confirmation modal will ask you to double-check you’re happy with the Entry you’re releasing. Click ‘Confirm & Release’ if you are
  4. The Entry’s release status will update from Ready_to_release.png to Released.png, the Entry bar will highlight in green and you’ll no longer be able to edit it

Release multiple Entries

If you want to release more than one Entry but not your entire day, you can pick and choose multiple Entries to release in one go:

  1. Select the Entries you want to release by clicking on the Entry icon of each. These can be across different Clients / Matters:
    • You can also select all Entries under a Client / Matter by clicking the Client Header, like so:

    • If you select an Entry by mistake, just click on that Entry’s icon again to deselect it
  2. In the Matters box that displays on the right-hand side of your TBP window above your Daily Timesheet, the ‘Release’ button shows the total billable increments for the Entries you’ve selected – click on it
  3. A Release Entries confirmation modal will ask you to double-check you’re happy with the Entries you’re releasing. It also shows you:
    • The total billable increments for each Client / Matter
    • The total billable increments for all Entries combined
      • If any Entries aren’t ready for release, you’ll see an Warning.png alert and message saying how many and their total billable increments. These Entries will remain in your Timesheet but you’ll still be able to release those that are ready
  4. Click ‘Confirm & Release’

Create and release an Entry in one go

You can also choose to create a manual Entry and release it in the same workflow:

  1. In your Timesheet, click Screen_Shot_2021-11-17_at_2.27.42_PM.png and the Create Entry box will pop up
  2. To create and save an Entry, you only need to select a Client / Matter and add a duration – the rest can be done later. But if you want to release the Entry right away, you’ll need to add the Narrative and any Work Codes, if they’re required
  3. As soon as you’ve entered all required information, the ‘Save & Release’ button will become active – click on it
  4. A Release Entry confirmation modal will ask you to double-check you’re happy with the Entry you’re releasing. Click ‘Confirm & Release’ if you are
  5. The Entry’s release status will update fromReady_to_release.png to Released.png, the Entry bar will highlight in green and you’ll no longer be able to edit it
