We’ve made it easy to account for every minute you work, even when Time by Ping isn’t capturing your time automatically.
Smart and intuitive, Time by Ping (TBP) captures most of your working time automatically by integrating seamlessly with many of the tools you use every day. But we know that not all your work happens at your computer.
Whether you’re marking up printed documents, researching in the library, discussing things with colleagues ad-hoc or working on tools not yet integrated into TBP, we want to make sure you can account for your time accurately and easily. That’s why you can add manual Activities and Entries – so you can account for and bill all your work no matter where it happens.
How do I create a manual Activity in my Timeline?
There are two ways to create a manual Activity and quickly fill any Open Time in your day. In your Timeline:
- Click on the ‘Create Activity’ button in the top right of your TBP window
- Scroll to an Open Time slot and you’ll see a ‘Create Activity’ button – click on it. Use this option and TBP will automatically add your start and stop times from the period of Open Time, saving you a step
Once you’ve clicked on either ‘Create Activity’ button:
- In the ‘Create Activity’ window, select a Client / Matter and add a start and stop time. If you’ve navigated here via Open Time, TBP will automatically add these for you but you can edit them to get your desired duration
- Add a Narrative (although you can also do this later)
- Add any Work Codes (we take these from the Client / Matter you’ve selected and you can also add them later)
- Hit ‘Save & Close’ and the Activity will show in your Timeline at the start time you added
When you manually create an Activity in your Timeline it will show immediately in your Timeline and Timesheet.
How do I create a manual Entry in my Timesheet?
It’s easy to quickly add a manual Entry to your Timesheet for release directly to the Practice Management System (PMS).
While an Activity in your Timeline has a start and end time, an Entry in your Timesheet has an increment value and duration that’s not fixed to a set time. This means you can add an Entry quickly and easily without worrying about finding the right time slot to add it.
Like an Activity, an Entry still has a Client / Matter, Narrative and Work Codes. There are two ways to create an Entry:
From the Daily Timesheet Panel
- Click on the plus button next to the Client Matter you want to create an Entry for
- Notice the Create Entry window will already have populated the Client / Matter for you
- Add a Narrative (although you can also do this later)
- Add any Work Codes (we take these from the Client / Matter you’ve selected and you can also add them later)
- Hit ‘Save & Close’ and the Entry will show in your Timesheet under the Client / Matter you selected
From the Global Header
- Click on
in the top right of your screen next to the ‘Release Day’ button
- In the ‘Create Entry’ window, select a Client / Matter and type or use the arrows to set a duration in billing increments (we take the increment value from the Client / Matter you’ve selected)
- Add a Narrative (although you can also do this later)
- Add any Work Codes (we take these from the Client / Matter you’ve selected and you can also add them later)
- Hit ‘Save & Close’ and the Entry will show in your Timesheet under the Client / Matter you selected
Create and release in one go
As you’ve probably guessed, when it comes to releasing your time TBP is all about speed and convenience. That’s why we’ve made it possible to create and release an Entry in one go:
- Follow the steps we’ve laid out in ‘How do I create a manual Entry in my Timesheet?’ section above
- Add the necessary information – Client / Matter, Narrative and Work Codes where required
- The ‘Save & Release’ button will become active
- Click on it and the Entry will release to the PMS and save to your Timesheet. Remember, once released you won’t be able to edit it
